ARROW Updates Forthcoming  

ARROW is undergoing an update planned for August 10th.  Stay tuned for information on training sessions and office hours planned for later this summer! 

Records Retention Update  

As a reminder, in order to comply with the UW Institutional records retention schedules for IRB applications, OVCR ARROW IT and IRB are PERMENANTLY DELETING applications from ARROW that have reached their scheduled record retention period.  

Protocol Development Activity (PDAs) applications certified as not human subjects research and studies that were withdrawn prior to approval are automatically withdrawn 3 years after the certification.   

In response to feedback from investigators, we are retaining other certified applications (not research or other not human subjects research) for 7 years after certification. 

For studies that were reviewed and approved (including exemptions), the retention period is 7 years after a study is closed (which is 5 ½ years after a study is archived and cannot be modified by the study teams or the IRB). You will receive an automated email from ARROW ~ 30 days prior to deletion of these protocols.  

When the application is deleted from ARROW, all associated documents (all versions of the protocol, stamped consents, approval letters, minutes, etc.) will also be deleted.  

Detailed information will be included in the protocol-specific emails to the PI and point of contact prior to disposition.  Reach out to the IRB directors (irbdirector@hsirb.wisc.edu) if you have questions about the process. 

Human Subjects Forms for NIJ Grant Submissions 

If you are submitting a grant application to the NIJ that requires submission of a "Protection of Human Subjects Assurance Identification/IRB Certification/Declaration of Exemption" form or Privacy Certificate, please be aware that those two documents should be signed by the Institutional Official, Dr. Nadine Connor, rather than RSP. Completed form(s) must be sent to compliance@research.wisc.edu for signature routing. Please send these forms as soon as possible, preferably at least a week prior to grant submission. 

Reminder: Drop-in Office Hours for researchers    

The IRB hosts virtual office hours for researchers/study teams every month! Staff from both the Health Sciences and Minimal Risk Research IRBs will be available. Please join us the first Thursday of every month from 12PM-1PM. Please click here for the Zoom link.   

To make best use of everyone’s time, please bring focused questions. Examples of focused questions include:    

  • What information do we need to provide the IRB to share data between two studies?   
  • We have X study in mind and were wondering what type of application we should submit?   
  • Would XYZ changes to recruitment methods or participant population be allowable to improve recruitment?   

If you have questions about a submission currently undergoing IRB review, please contact your assigned staff reviewer. As always, the IRB website has plenty of resources that can assist with submitting a study to the IRB.
